Before requesting or purchasing an Online Enrolment Feature Integration, it is important you have read, understood and agreed to the terms and conditions on this page.

The Online Enrolment Feature is a service, not a product. We deliver this service to clients who have completed setting up their system as a part of their onboarding/implementation. Referring to this graphic, you can see how the Online Enrolment Feature fits within the larger scheme of your onboarding with aXcelerate.

Project Process

Your Online Enrolment Implementation Project comprises the following steps:

  1. You have read the FAQ.
  2. You discuss your business requirements with aXcelerate and we present you with a detailed scope for the project.
  3. Your agreement to the Project Scope.
  4. Your verification of the WordPress System Requirements as outlined above – please confirm via this ticket.
  5. Completion of the aXcelerate System Requirements as outlined above – please confirm via this ticket.
  6. Invoice for 50% of the project cost will be issued to you to trigger project commencement (unless an alternative agreement exists with aXcelerate).
  7. Payment of project commencement invoice by you.
  8. Upon receipt of the project commencement payment, we will commence the Online Enrolment Project; The build process normally takes between four and six weeks but may vary depending on factors outside aXcelerate’s control including, but not limited to, customer delays, project scope extension and/or unforeseen complexities of the project.
  9. Upon completion of the build and test process, you will be contacted to commence the User Acceptance Testing.
  10. User Acceptance Testing will then commence and involves your testing of the Online Enrolment feature against the Project Scope; Based on our past experience, the User Acceptance Testing process usually takes up to a week but may take longer, depending on the overall Project Scope including any Changes to Scope (see below); Please refer to the User Acceptance Testing details below.
  11. Upon completion of the User Acceptance Testing process, aXcelerate will invoice you for the 50% balance of the project cost (unless an alternative agreement exists with aXcelerate).

User Acceptance Testing

The User Acceptance Testing process is as follows:

  1. The User Acceptance Requirements (as outlined above) have been met
  2. The functionality has been developed and subsequently tested in staging by you.
  3. A User Acceptance Testing meeting will be organised between the Online Enrolment Team and the Key Customer Contact
  4. You will provide feedback on the functionality delivered including any bugs and/or issues that you have encountered during the testing process.
  5. Any outstanding issues or deliverables will be addressed by aXcelerate and handed back to you for further testing
  6. Once there are no outstanding issues with the enrolment process, the aXcelerate WordPress plugin will be set to process live data.
  7. Online enrolments will be able to be accepted in a live capacity once written verification of project completion is provided by you.
  8. If there are no outstanding issues or deliverables and no new issues are raised over a period of five (5) business days, a sign-off confirmation message will be sent to you by aXcelerate.
  9. A sign-off confirmation message is sent through this ticket verifying that there are no outstanding issues or deliverables.
  10. If no response is provided by you regarding sign-off confirmation after five (5) business days, the project will be deemed completed.
  11. The status of this ticket will be updated accordingly and the project will be set to ‘closed’.
  12. Any aXcelerate related support subsequent to closure of the project will be directed to our Support team.

NOTE: aXcelerate does not provide any guarantee of project completion by a target or ‘go live’ date due to a number of project factors outside aXcelerate’s control. We suggest you establish a ‘go live criteria’ and once that criteria has been achieved, then establish a ‘go live’ date. This is because the timely completion of the project depends on variables not in aXcelerate’s control. Please discuss this point with us if you have any concerns.

NOTE: As part of the Online Enrolment Project, aXcelerate will not be modifying your website navigation menus or existing pages. aXcelerate will only be creating new pages in your website to display the aXcelerate course content. It is your responsibility to create links from other places on your website to the aXcelerate pages or amalgamate the aXcelerate pages with other pages. Any navigation controls for users of your website to navigate to the aXcelerate course pages is a customer responsibility. We request that any additional configuration work to be completed by you in relation to the creation of links to aXcelerate pages or any other website changes which are not related to the Online Enrolments feature be undertaken by you after the completion of the Online Enrolment Project.

NOTE: Completion of the scoped project is not contingent to the site being used in a live capacity. Once the agreed configuration and user acceptance testing have been completed the project will be closed.

NOTE: The project must be confirmed as completed before online enrolments begin to be accepted in a live capacity. If online enrolments begin to be accepted in a live capacity on your website before written sign-off is provided, the project will be considered completed.

System Requirements

Before the WordPress plugin will function correctly and be able to process online enrolments in a live capacity, the WordPress System Requirements and relevant aXcelerate System Requirements will need to be adhered to.

During the course of the implementation, If any conflicts occur, eg: a theme or plugin on your website is overriding the default jQuery, we ask that you remove or disable the conflicting entity. During development, aXcelerate will notify National First Aid Training Institute‍ if there is a conflict.

Changes to Scope

Prior to Please ensure that all required work is specified in the Project Scope before confirming. Anything requested that is not explicitly specified in the Project Scope outlined above – after it is agreed upon – will be treated as a change to the scope and charged as custom development work (see Terms & Conditions below). We include 10 free configuration changes over the course of the project. Configuration changes include:

  • Changing the ordering of fields within the enrolment form
  • Changing the wording of fields within the enrolment form
  • Changing the names of the enrolment form steps
  • Adding additional aXcelerate fields to the enrolment form which are not part of the default enrolment configuration
  • Adding aXcelerate custom fields to the enrolment form
  • Changing specified payment options in the enrolment form
  • Changing the enrolment step order
  • Changes to course details page(s), e.g. removing or adding content sections, images or any page content

Any changes requested after the allotted 10 configuration changes have been used up, however minor, will be treated as billable changes to scope.

The Online Enrolment feature and Ongoing Responsibilities

Once the Online Enrolment Project has been completed, the maintenance of your website becomes solely your responsibility. Our Support Team will assist you with any aXcelerate-related enquiries. Any change requests beyond the Project Scope will incur additional fees. You are welcome to use and configure the Online Enrolment feature from your WordPress website as you desire, however if you require additional configuration to be completed by aXcelerate after completion of the project, this additional work will be treated as a new billable task which will be scoped separately and approved prior to commencement.

Maintenance Fees

Maintenance fees will only begin to be incurred one year after reaching the User Acceptance Testing (UAT) phase of the project. One year after reaching the UAT phase, a fee of $800 + GST will be incurred annually. The maintenance fee allows us to provide support and develop new features within the WordPress plugin that all users of online enrolments will have access to. Please be aware that this fee will not account for additional configuration of your specific website and online enrolment process. Custom configuration will still be scoped, quoted and then approved prior to commencement.

Please be aware that this will only take effect as of 1st July 2018 onwards. All users of the aXcelerate WordPress plugin will be notified of this change prior to it being instigated.

Additional Terms
